Birding and Wildlife Safaris (hereinafter referred to as BWS), based in Hoedspruit, South Africa, is responsible for the processing of personal data as set out in this privacy statement.

Personal data that we process:

BWS processes your personal data by using our services and / or by providing this information to us.

Below is an overview of the personal data we process where applicable:

-  Sex

-  Date of birth

-  Address

-  Phone number(s)

-  E-mail address(es)

-  Passport number

-  Next of kin; relationship, name, contact details

-  Insurance

-  (limited) Medical data

-  (limited) Information regarding your physical condition

BWS processes your personal data for the following purposes:

-  Communication regarding your travel itinerary

-  To inform you about changes to our services and products

-  To be able to carry out our services to you

-  To assist you in choosing the right itinerary for you (where applicable or requested)

-  To assist you and your family in case of an emergency

-  BWS analyzes the behavior of each visitor on the website to improve it and to tailor the range of products and services to specific preferences

-  BWS processes personal data if we are legally obliged to do so, such as data that we need for our tax return

Automated decision-making:

BWS does not take decisions (based on automated processing) on matters that can have (significant) consequences for persons. This concerns decisions taken by computer programs or systems without human input. All this does not apply to BWS.

How long we store personal data:
BWS does not store your personal data longer than is strictly necessary to achieve the purposes for which your data is collected. We use the following retention period for almost all data we receive from you (as described above):

Personalia: From the date of receiving the application form to 6 months after completing the tour. In instances where there has been a complaint or misconduct, BWS may keep records for up to a year or however long it deems necessary.

With the exception of: Name, e-mail, address. Basic details regarding choice of itinerary, duration, and dates where applicable

Reasons for exceptions: In some instances BWS may put 2 or more participants in contact with each other if it believes this may benefit the participants. BWS will always request consent from all parties.
If BWS receives a request from someone who is interested in joining a tour that you have been to, to hear your personal experience. We may then contact you and ask for your consent.

Sharing personal data with third parties:
BWS only shares the information you provide with the accommodation or travel contractor of your choice, and for the purpose as stated above. BWS only shares basic information with shuttle companies / guesthouse /travel contractorss etc if you have requested BWS to make arrangements on your behalf. In any possible other circumstance, BWS will always first contact you to explain the intended purpose and request consent. BWS does NOT provide or sell your data to any other third parties.

Cookies (or similar techniques) that we use:
BWS only uses technical and functional cookies and analytical cookies that do not infringe your privacy. A cookie is a small text file that is stored on your computer, tablet or smartphone when you first visit our website. The cookies we use are necessary for the technical operation of the website and your ease of use. They ensure that the website works properly and remember, for example, your preferences. We can also optimize our website with this. You can opt out of cookies by setting your internet browser so that it does not store cookies anymore. In addition, you can also delete all information previously saved via the settings of your browser.

View, modify or delete data:
You have the right to view, request us to correct or remove your personal data. This refers to the data you provided on the application form. Requesting us to remove certain data may affect the (quality of the) services offered to you. We destroy all data (correspondence; email, whatsapp, etc. Application form, supporting documents and copies) no later than 6 months after completing your tour, with exceptions as mentioned in above table.

How we protect personal data:
